Grand River Hospital (GRH) is seeking a solution of a learning platform to utilize as a tool for accreditation preparation for their staff, with the long-term goal of using the software widely throughout the institution as the primary learning tool.

GRH is posting this Call for Innovation to seek out qualified Ontario* companies who can meet the desired outcomes.  GRH and CAN Health reserves the right to not move forward with this project at its full discretion and in particular if there are no qualified Ontario companies that can reasonably meet the desired outcomes.

Problem Statement and Objective(s)

Accreditation is an ongoing, voluntary assessment of healthcare institutions and social services that occurs every 3-5 years. Although it is voluntary, nearly all Canadian hospitals participate in accreditation. Preparing for accreditation is time-consuming and requires an abundance of resources. In addition, there is a need to improve employee retention of the knowledge gained during accreditation preparation.

GRH is seeking a learning platform solution that will ensure the preparedness of staff for accreditation, improve the retention of the knowledge gained during preparation, and decrease the total resources required for preparation.

Objectives:

  1. Obtain a learning platform to augment GRH’s current LMS for employee ongoing learning;
  2. Ensure preparedness of staff  for the accreditation survey leading to an increase in confidence among staff and highest opportunity for success;  
  3. Improve retention of best practices amongst the staff for application in practice post accreditation survey;
  4. Decrease the total resources required for accreditation preparation.
Desired outcomes and considerations

Essential (mandatory) outcomes

The proposed solution must:

  • Be a training and communication solution that delivers extensive general training and department specific training, with the ability to build custom content for the needs of the customer, including accreditation specific content. 
    • Other examples include: hand hygiene practices, emergency codes, HIPAA and PHIPA, PPE donning and doffing, and respectful workplace training. 
  • AI powered engine that detects behaviours of the learners and automatically adapts to training to address the problem. 
  • Platform is engaging and promotes interactive learning through gamification. 
  • Must have both training and knowledge reinforcement features. 
  • Software must be able meet GRH’s privacy and security requirements.
  • Software must be compatible with Windows and iOS operating systems and have a mobile version compatible with Apple and Android.
  • Software must not have a cap on the number of users it can support.
  • Increase confidence levels of staff which will be measured by a questionnaire circulated at end of project period.
  • Must be able to provide participation rate metrics and frequency metrics (number of log-ins over a 30 day period) to show regular utilization by staff.
  • Product can provide a metric to measure changes in knowledge and demonstrates an increase in knowledge over time. 
  • High level of user friendliness and usability quantified by staff feedback.
  • Staff satisfaction in preparedness levels for accreditation as a result of the learning platform measured by questionnaire sent to staff post-accreditation.
  • A higher percentage of accreditation standards achieved compared to previous years.

Background and context

Participating institutions of accreditation Canada (an ongoing voluntary assessment of healthcare institutions and social services) undergo a rigorous self-assessment and third party survey against an extensive list of excellence standards designed to evaluate the quality and safety of the care and services provided by the institution. In order to achieve Accreditation an organization needs to achieve compliance on a minimum of 85% of all standards. Nearly all Canadian hospitals participate in accreditation, with many healthcare organizations including accreditation as part of their mandatory Quality Improvement Plan. Preparing for accreditation is time-consuming and requires an abundance of resources, therefore GRH is looking to implement a technology solution that can help with accreditation preparation, with the long-term goal of transitioning the software to be utilized throughout the institution as the primary learning tool.
